Privacy policy

STR8FW VZW respects your privacy. We collect only what we need to keep you informed about our work, and we never sell or share your data with third parties for commercial purposes.

Who are we?

STRAIGHT FORWARD VZW, company number BE 0556.991.321, registered at Smidsestraat 121, 9000 Ghent, Belgium. You can reach us at info@str8fw.be. For questions about personal data, our chair, Dirk Mattheeuws, is the contact person.

What data do we collect, and why?

We only collect what is needed for what you ask for yourself. Per channel:

  • Form "Newsletter & membership" (home page) - name, email address and, if you want to join the WhatsApp group, your mobile number. Legal basis: your consent, box by box. You must tick at least one choice; without a choice nothing is sent.
  • Form "I am coming" (Queer Belgian Art page) - name, email address, number of people and your preferred moment. Legal basis: carrying out your request to be notified; the optional newsletter again on the basis of your consent.
  • Email or WhatsApp message you send us yourself (for instance to join the MSK visit or the WhatsApp group) - what you write to us, your address or number. Legal basis: carrying out your request.
  • Bank transfer (Str8-to-Dinner registration, donation) - name of the account holder, account number, amount and reference, as they appear on our bank statement. Legal basis: carrying out your registration and our legal accounting obligation.
  • WhatsApp group of the cooking club - your mobile number and the name you use in WhatsApp. The other members of the group can see your number; that is how WhatsApp groups work. Legal basis: your consent, given by asking to join yourself.

In addition, our host and the form service process technical data (IP address, browser, date and time) as any web server does. We do not use these for profiling, and we have no access to them ourselves beyond the host's log files.

One thing we want to say explicitly. Becoming a member of STR8FW, or signing up for our activities, may reveal something about your sexual orientation or gender identity. That is special category personal data within the meaning of Article 9 of the GDPR. For membership we therefore ask your explicit consent with a separate box, which says so. We handle it with care: no member list on the website, no names in reports without agreement, no transfer to anyone.

How long do we keep it?

  • Newsletter - as long as you are subscribed. If you unsubscribe, we delete your address within 30 days.
  • Membership (as an associate member, without voting rights at the general assembly) - as long as you are a member, and up to 30 days after you leave.
  • MSK group visit - until the visit has taken place; after that we delete the list within 30 days, unless you ticked the newsletter.
  • WhatsApp group - as long as you are in the group. You can leave at any time.
  • Bank transfers - seven years, as Belgian accounting law requires. Not longer.
  • Form submissions at FormSubmit - FormSubmit keeps a copy for 30 days on its own servers (see below). In our own mailbox we keep the submission until it has been processed.

Who do we share it with?

We never sell or share your data with third parties for commercial purposes. We do work with a few service providers that are needed to make the website and our communication work:

  • FormSubmit (formsubmit.co) - the service that forwards the two forms on this site to info@str8fw.be. To be frank: FormSubmit keeps every submission for 30 days on its own servers and is a service based outside the European Union. We do not yet have a data processing agreement with it and are looking into a European alternative. If you would rather your data did not pass through FormSubmit, simply send us an email - that works just as well.
  • statichost.eu - the hosting of this website, on servers in the European Union. Processes only the technical data every web server sees.
  • Combell - manages our domain name and our email (info@str8fw.be), in Belgium.
  • Our bank - obviously sees the transfers you make.
  • WhatsApp (Meta) - only if you yourself ask to join the WhatsApp group. Your mobile number then ends up with Meta, and the other members of the group can see your number. Consider that before ticking the box.
  • If you sign up for the newsletter and we later send it via a third-party service (such as Mailchimp or Brevo), we will inform you at that time.

Cookies and tracking

This website uses no tracking cookies and loads no analytics scripts (no Google Analytics, no Meta Pixel, no advertising cookies). No cookie consent banner is therefore required.

External services on this website

When loading this website, no external resource is requested at all. The typeface, the images and the scripts are all on our own server. Your IP address therefore reaches no one but our host.

You only leave our site when you click a link yourself: to Google Maps for the location, to Facebook or Instagram for our pages, or to the website of a sponsor or partner. Those open in a new tab and fall under the privacy policy of those services.

Your rights

Under the GDPR you have the right to:

  • Request access to your data
  • Have errors corrected
  • Have your data deleted ("right to be forgotten")
  • Have the processing restricted, or object to it
  • Receive your data in a readable file (portability)
  • Withdraw your consent at any time, without making the earlier processing unlawful
  • File a complaint with the Belgian Data Protection Authority

For all of these requests, a simple email to info@str8fw.be is enough. We respond within 30 days.

Changes

This privacy policy may change as our work evolves. Important changes are communicated via the newsletter and on this page. The latest version is always here.
